The problem

Their client list was the business, and it was stuck

Mary-Jane and Meghan's contacts lived in Buffini, which they wanted to leave, and the CRM was the thing they worried about most. Pop-bys and birthday and holiday mailings were all done by hand, messages from their contact form weren't reliably reaching them, and the website was overdue for a rebuild.

What we did

Built around how they actually work

    A CRM picked by testing, not by habit

    We didn't assume the market leader. They tried the leading options against their real day-to-day work, then chose Twenty, an open-source CRM, with a side-by-side comparison in hand.

  2. 02

    Their data, on their server

    We moved their client list out of Buffini into Twenty on a server in their name, with automated backups and Microsoft sign-in. Every record was checked with them before the old system was cancelled.

    PopBy, on their phones

    A map of which past clients are nearby and due a visit, synced from the CRM and installed on their phones like an app.

  4. 04

    Labels in one click

    Birthday and holiday mailing labels built on demand from the CRM, so the list is always current.

    A website that tells their story

    Buying, selling, a free home valuation, community guides and their giving through Real Estate for Real Change. Every form lands straight in the CRM.

    Nothing that needs us

    A blog they publish themselves, and a setup any developer can pick up. They own all of it.

The result

What changed

The CRM, PopBy and the label tool are in daily use, and the new site is in its final review before launch. Result after launch: monthly savings, leads arriving straight in the CRM, or time back in December.
